Office Administrator

Reporting to the Board of Directors, FAB’s Office Administrator will provide a range of support to the organization vital in the administration and smooth running of a grassroots not for profit charity.

The role will be 15 hours per week.

Main Responsibilities include:

  • Day to day accounts payable and receivable
  • Reply to and field incoming inquiries
  • Co-ordinate and implement policies and procedures
  • Maintain accurate records in e-tapestry related to donations, sponsorships, grants and events
  • Develop and produce reports from e-tapestry to support organizational needs
  • Provide administrative support to the Board of Directors related to funding and stewardship
  • Provide administrative support to Board of Directors related to board meetings and events
  • Provide administrative support to Program Coordinator
  • Provide social media support
  • Other tasks, as assigned

 Requirements: 

  • 3+ years experience working in an administrative support role
  • Proficiency in Microsoft office suite (Excel PowerPoint, Word)
  • Experience working with a donor management database, preferably e-tapestry
  • Creative thinker and a “people” person who is comfortable working in a fast-paced start-up environment
  • Excellent writing, interpersonal and organizational skills
  • Comfortable with social media
  • Ability to work well independently while effectively contributing to a larger team

Volunteer Opportunities

FAB is looking to expand the board with experience and expertise in at least one of the following areas:

• Fundraising
• Marketing and Social Media
• Corporate Sponsorship
• Event Management

The Board of Directors meets once per month on the third Tuesday of every month, from September to June, 6:30 to 8:30 p.m. Board members are expected to attend no less than seven meetings annually and participate on a minimum of one additional sub-committee. Committee meeting frequency is determined at the committee level.

Join an event planning committee!

Each year, the FAB Foundation hosts three fundraising events in support of the FAB Girls 5K Challenge Program. These include the FAB 5K Community Challenge and FAB Open golf tournament, both held in June, and FABracadabra Silent and Live Auction held in November. We are looking for committee members to assist with securing sponsorships, raffle and auction items, attendees and participants. FABracadabra Gala, Live & Silent Auction Committee Member Information/Expectations:

January to July 2018: minimum 4 hours/month commitment (attend monthly meetings, offer ideas/suggestions to the rest of the committee, pick at least one action item to be in charge of and run with (ex. choosing catering menu/dessert menu, securing donations and items for goodie bags, advertising the event, securing sponsorship’s, recruiting and coordinating volunteers, etc.))
August to mid-October 2018: minimum 6-8 hours/month commitment (attend monthly meetings, continue to run with your specific task (ex. live band), and help with securing donations, etc.)
Mid-October to November 2018: minimum 2 hours/week commitment up until the event (attend weekly meetings, help with all last minute details etc.)
The weekend before the event: minimum 2-3 hours Saturday and/or Sunday to help with last minute details (ex. wrapping/numbering auction items, printing bid sheets, bid cards, etc.)
The day of the event: all day or as much time as you can spare if you cannot book the day off work (help with transporting all auction items to the venue, help with venue set up, help out during the Gala, etc.)
***Please note: we have not finalized the date for this event yet, but we are looking at Thursday, November 1st or 8th, 2018 from 6-10pm at the moment***

FAB 5KM Community Challenge Committee Member Information/Expectations:

January to April 2018: minimum 6 hours/month commitment (attend monthly meetings, offer ideas/suggestions to the rest of the committee, pick at least one action item to be in charge of and run with (e.g., visit local businesses and request sponsorship, source food donations, book vendors, order t-shirts, design marketing materials, distribute marketing, advertise among networks to recruit runners, etc.)
May to June 2018: minimum 8 hours/month commitment (attend monthly/bi-weekly meetings, continue to run with your specific task (e.g., confirming food, recruiting and coordinating volunteers, and help with securing donations and runners.
The week before the event: minimum 2-3 hours to help with last minute details (e.g., buying food, picking up supplies, organizing signs, etc.)
The day of the event (June 9th 2018): 7am-1pm help at the event site. This will include race set-up, coordinating volunteers, assisting with event related tasks (e.g., organizing and handing out post-race food, giving out medals, marshalling, etc.), and race take down and clean up.

FAB Open Golf Tournament Committee Information/Expectations:

January to April 2018: minimum 6 hours/month commitment (attend monthly meetings, offer ideas/suggestions to the rest of the committee, pick at least one action item to be in charge of and run with (e.g., visit local businesses and request sponsorship, source donations, order t-shirts, design marketing materials, distribute marketing, advertise among networks to recruit golfers, etc.)
May to June 2018: minimum 8 hours/month commitment (attend monthly/bi-weekly meetings, continue to run with your specific task, recruiting and coordinating volunteers, and help with securing donations and golfers).
The week before the event: minimum 2-3 hours to help with last minute details (e.g., buying food, picking up supplies, organizing signs, etc.)
The day of the event (June 19th 2018): 9am-8pm help at the event site. This will include set-up, coordinating volunteers, assisting with event related tasks and take down and clean up.

Each FAB event is unique and exciting, and we’re looking for equally enthusiastic people who are willing to help with everything from event set-up, to registration, to handing out water to runners.
